Invitees are a category of "pre registration" records that can be used for used for one or both of the following purposes:
- as a list of allowed registrants for "Invitee Only" events.
- as a list of potential registrants to whom invitations can be sent through the platform
Allowed "Invitee Only" Registrants
If an event is configured as "Invitee Only" then a list of allowed registrants must be uploaded to the system. At the beginning of registration the registrant's email will be checked against this list of Invitees. Anyone with an email on the list will be permitted to register, and to the contrary, anyone attempting to register with an email address not on the list will be prevented from registering.
Potential Registrants
Invitation emails can be sent through the system to a list of Invitees.
Creating Invitees
Invitees can be created under the Action menu. There are two options:
- Adding an individual invitee
- Uploading a list of Invitees
Adding an individual invitee
Follow these steps to add an individual Invitee record:
- Under the Action menu select "Add Invitee"
- Complete the individual Invitee form. If you are testing the configuration, ensure you select "Test Record". If you are creating a non-test Invitee select 'Regular Record'. Press 'Add Invitee' to continue.
- Once the Invitee has been added they will appear in the Dashboard under the Invitation Status "Unsent"
Uploading a list of Invitees
- Under the Action menu select "Add Invitee"
- Select the spreadsheet containing Invitees by clicking 'Your Computer'. The import spreadsheet should comprise individual columns for "First Name", "Last Name", "Email Address" and, if applicable "Attendee Type".
- The platform will attempt to map the column headings on the spreadsheet. If not mapped automatically, select an appropriate mapping from the drop down choices. If you are testing the configuration, ensure you select "Test Record". If you are creating a non-test Invitee select 'Regular Record'. Press 'Import' to continue.
- The platform will indicate the status of the import. The number of records successfully imported will be displayed as well as an indication of any failed imports:
